Written scope and approval

All project agreements must be received and signed by both parties. A verbal discussion does not create an agreed project commitment. Your written scope should identify the work, fees, deliverables, responsibilities, approvals and timing. Ask us to clarify anything you do not understand before signing.

Service availability and delivery arrangements follow the approved agreement. A website enquiry or quote request is an invitation to discuss your project; it does not start paid work.

Conditional SEO money-back guarantee

We offer a money-back guarantee only for selected SEO projects after reviewing the project details and approving the case. This guarantee does not apply to web development, design, content, paid advertising, maintenance or any other non-SEO service. A guarantee applies only when Top SEO expressly includes it in the written agreement accepted by both parties.

• The approved agreement must state the eligible work, the commitment being assessed, the measurement or acceptance method and the review period.
• It must specify client responsibilities, required access and approvals, eligibility conditions, exclusions, the claim deadline and the amount or portion eligible for refund.
• A change to the approved scope must be reviewed and agreed in writing, including its effect on the guarantee.

An express SEO-project-specific money-back agreement governs that commitment and takes priority over conflicting general refund exclusions below, including a different claim period if expressly agreed. When no such written exception exists, the standard refund conditions apply. There is no blanket guarantee for every enquiry or package.

A commercial refund commitment cannot control Google, another search engine or an AI platform. It is not a promise of a permanent ranking, immediate indexing, a top-three position or an AI citation.

Responsibilities and confidentiality

Clients should supply a complete brief, authorised materials, accurate information and agreed approvals. Our staff must follow company policies for safe and correct delivery. Both sides should raise access issues, delays and changes early so their effect on the scope can be discussed.

Top SEO treats client-specific information as confidential. Management is responsible for approving and enforcing privacy requirements, setting programme objectives, assigning privacy responsibilities and arranging workforce training. Training responsibilities include developing the programme and documenting delivery. Unauthorised disclosure by an employee is subject to assessment and appropriate action; employees remain accountable for their actions.

When a standard refund may be considered

A refund request may be considered where Top SEO fails to meet the agreed client requirements, where there is evidence of content obtained by illegal means or copyright infringement, or where the initial idea is rejected before an agreement is settled. Technical issues, processing errors and copyright concerns are reviewed in relation to the agreed work and applicable refund conditions.

Please supply the project reference, the condition you believe applies and supporting information. Consideration of a request is not automatic approval; an approved written money-back commitment is assessed under its own conditions.

Standard refund exclusions

Unless an express written SEO-project-specific money-back commitment provides otherwise, our standard commercial conditions exclude refunds in the following circumstances:

• A customised special package has been chosen, or the initial proposal or designs have been approved.
• The request is for revisions, a complete makeover, or a change of mind, change of heart or a partner’s disagreement.
• Cancellation is for a reason unrelated to Top SEO; the client has been out of contact about the project for more than two weeks; or the brief lacks necessary information.
• Company policies have been breached, or the applicable refund claim period has expired.
• The company changes or removes its name, or closes.
• The request concerns dissatisfaction with a purchased subscription or bundle whose charge relates to that agreed bundle.
• Designs, videos or applications have already been uploaded to the website.

The standard claim limit is 30 days after purchase. Social media, SEO, domain registration and web hosting are excluded from standard refunds, subject to the express written money-back exception above. These conditions do not override rights that cannot lawfully be excluded.

Individual requests and complaints

You can request access to or a copy of relevant personal information, an accounting of disclosures, confidential communication, amendment or restriction of use or disclosure, and can file a complaint. A request may require appropriate verification and is subject to applicable law and legitimate recordkeeping requirements.

For a refund or service complaint, identify your concern and the relevant proposal, invoice or agreed condition. Complaints about the handling or disclosure of client information will be evaluated. Copyright and legal records

Copyright and rights to use a product, design or project must be read with the applicable written agreement. Clients must be authorised to supply materials they ask us to use. Our standard terms reserve company copyrights and provide for copyright-acquisition information to be shared with government copyright agencies where required to maintain the legality of the relevant product, design or project.

Changes and contact

Refund policies and these published conditions may be revised. Review the current version before entering a new agreement and retain the written terms approved for your project. Ask us about the effect of any revision on existing work rather than assuming a new website statement replaces a signed commitment.
